Professional Mortgage Administration was established in 2005, as an innovative solution to the dilemma faced daily by IFAs and Mortgage Consultants of Sales vs Administration and Service, we have steadily grown as word has spread of the stress relieving services we provide. Although based in the South East we are capable of operating nationwide. Our business originated out of The City, where we have some prestigious clients.
PMA was founded by Leigh Chapman, a Financial Services industry professional of over sixteen years experience. Starting as a company representative for Reliance Mutual in 1990, she then spent three years with College Green Associates, who were the selling arm of Scottish Equitable, specialising in the licensed trade. Leigh obtained full FPC qualification when regulation first dictated it necessary.
In 1997 she joined Capital Planning and Finance Limited, dealing initially with administration and personal financial service business. She was then chosen to help establish their mortgage desk, which resulted in gaining an in-depth knowledge of the mortgage administration process and where she gained the CF6 mortgage qualification.
Since launching the business PMA has employed the services of other experienced mortgage and admin staff as satisfaction with her service grows.
We undertake all the time consuming data entry, administration and chasing, communicating with all parties involved throughout.
It is our aim to work in a partnership with Advisers to provide a seamless, efficient service to their clients. In order for us to do this, certain requirements are expected of your Mortgage Advisors. Upon initial introduction to a new Mortgage Advisor or Company we will meet to explain our service and discuss any individual requirements. The advisor or Company will be asked to sign an agreement and to commit to providing certain essential information in a timely manner. These will include:
- A full list of all access codes, passwords etc to all Mortgage Companies used
- Fully completed Mortgage Application and KFI for each case.
- Copies of the money laundering documentation.
- A telephone number for each client and an e-mail address where possible
- Continuing updates on any contact between advisors and Mortgage Companies or Clients (preferably by e-mail).
Administrators are recommended to give the administration number to clients for queries on the progress of their application.
Our fees are calculated to provide maximum value to our clients, whether they are individual Advisers or companies who employ us to provide the service for all their mortgage advisers. For a set monthly retainer we will commit to providing the administration services to all of your mortgage clients. This fee will be agreed with you, based on the number of cases you handle in a month, and top up fees are available when your sales surpass your expectations.
We find that the time saved by our clients in administration and customer communications far outstrips the cost of our service, since the time saved can be spent on sourcing new business. Typically one extra sale per month will cover our fees, yet we are increasing the output of our clients by as much as 20%.
Our clients have found that they can save the costly overheads of office based staff. As a company add to this the fact that there are no National Insurance costs, no sick pay and no holiday pay and the savings speak for themselves. As an individual Adviser you can claim tax relief for our services via your tax returns, reducing the cost to you.

Leigh Chapman – Professional Mortgage Services
Leigh has been looking after the administration of my mortgage business since November 2003. Initially we worked together on the now defunct London Mortgage Desk but since March 2006 I have subscribed to her independent administration service.
It goes without saying that she is good at what she does (I wouldn’t entrust her with my clients otherwise). Where she excels is in the areas that need extra attention. When issues arise with lenders for example, she is tenacious, fighting hard on behalf of the client. These situations can be particularly time consuming and Leigh’s involvement means I don’t waste my time, leaving me free to generate and write more business.
The daily spreadsheet she provides keeps me abreast of the progress of my mortgage cases, so I don’t feel detached from the process and can give clients an update should they contact me instead of Leigh. When I’m away on holiday I can be sure that mortgages continue to be processed.
